NDEB By-laws

The NDEB-laws govern the operations of the organization, including duties and responsibilities of the Board, committee, examinations, and appeal procedures. The By-laws are reviewed and revised regularly by the By-laws Committee and approved by the Board.

Act of Parliament

The NDEB was set up by an Act of Parliament in 1952 with a mandate to establish qualifying conditions for a national standard of competence for general dentists and to issue certificates to dentists who successfully meet the standard.

Policies

Test Accommodation Policy
Scope:

This policy applies to all candidates who have a documented disability, medical diagnosis or religious reason requiring testing accommodations for NDEB examinations.

Purpose:

The purpose of this policy is to outline the procedures requesting and granting test accommodations for NDEB examinations. Information concerning specific disabilities, medical conditions, and religious situations and the supporting documentation required for a test accommodation can be found on the Test Accommodations page.

Policy:

Requesting a Test Accommodation

A request for a test accommodation will be considered if the request is received through NDEBConnect with the completed form and all required supporting documentation no later than 8 weeks before the examination date. Any requests received with missing information or documentation will not be considered.

All test accommodation requests will be reviewed by the Test Accommodation Coordinator and Senior Staff. Following this review, the proposed accommodation will be sent to you for review and may differ from the accommodation(s) you requested.

When a consultation with your health care provider is required it may take time, we may not be able to coordinate your accommodation within 8 weeks.

In the event of an emergency situation, candidates can submit a late request for a test accommodation. Late requests can be difficult to coordinate even for emergency situations.

If we are unable to make arrangements in time for your scheduled examination, you would have the option to attempt the examination without an accommodation or withdraw from the examination.

All types of accommodations may not be available at every site or on every date. The NDEB reserves the right to determine the date, location and time of the examination session. Any additional travel expenses incurred are the responsibility of the candidate.

Granting a Test Accommodation

The decision to grant an accommodation and the type of accommodation granted is at the sole discretion of the NDEB. The decision, and type of accommodation granted, if any, will depend on the nature and extent of the examinee’s personal situation, the accommodation requested, the supporting documentation provided and the setting, context and requirements of the specific examination.

If the NDEB decides to grant an accommodation to the examinee, then the accommodation will only be valid for one examination session.

All types of accommodations maybe not be available at every site or on every date. The NDEB reserves the right to determine the date, location and time of the examination session.

Change of Exam Language Policy
Scope:

This policy applies to all candidates.

Purpose:

The purpose of this policy is to outline the requirements to change a candidate’s chosen exam language after initial NDEBConnect account creation.

Policy:

Communication and examination language are selected at the time of application. Requests to change examination language must be submitted to the NDEB in writing prior to taking an examination. Requests will be reviewed, and changes made, if possible, for the exam administration. If a language change cannot be made, candidates will be offered the opportunity to withdraw from the exam at no charge, or to take the exam in the original language selected. All decisions will be sent by email.

NDECC Registration Policy
Scope:

This policy applies to NDEB candidates with NDECC eligibility.

Purpose:

The purpose of this policy is to outline the priority registration process for the NDECC.

Policy:

Active candidates who pass the Assessment of Clinical Judgement (ACJ) will be offered priority registration for the NDECC for their first attempt. Candidates who do not accept this offer will be eligible to register when registration opens.

Candidates who are undergoing exceptional medical circumstances at the time they receive the NDECC priority survey, may decline priority and make a special request to the Executive Committee to have their priority postponed. All such requests must include original medical documentation and a release to speak with the treating physician.

All candidates with NDECC eligibility will be able to register for any remaining seats through their NDEBConnect account.

Withdrawal for Medical/Unanticipated Circumstances
Scope:

This policy applies to all examination withdrawals for medical or unanticipated circumstances.

Purpose:

The purpose of this policy is to outline the requirements for withdrawal from an exam for medical or unanticipated circumstances, and the steps taken by the NDEB in such cases.

Policy
  1. Within seven days after the examination date, a candidate who withdraws or does not appear for the examination due to serious medical circumstances or unanticipated exceptional circumstances, must provide supporting documentation clearly indicating the date and nature of the circumstances requiring the candidate to withdraw. Supporting documentation submitted for a withdrawal due to serious medical circumstances or unanticipated exceptional circumstances will be reviewed by the NDEB to confirm that it meets the criteria. Additional documentation may be requested. All medical documentation submitted to the NDEB will be verified for authenticity. The NDEB may request additional documentation. An authorization form may be required.
  2. If on their first attempt, a candidate withdraws from one component of the NDECC due to serious medical circumstances or unanticipated exceptional circumstances, their result for the component not taken will be reported as a void and overall NDECC result will be reported as a Fail.
Withdrawal after Successful Verification of Score
Scope:

This policy applies to exam withdrawal made after a verification of scores.

Purpose:

The purpose of this policy is to outline the steps NDEB will take in cases when a verification of score results in a passing grade.

Policy

After completion of a verification of scores, if a candidate receives a passing result, they will be withdrawn from future examinations and refunded the examination fee.

NDEBConnect Account Status Policy
Scope:

This policy applies to all NDEBConnect accounts.

Purpose:

It is important that a candidate attempt the examinations as soon as they are eligible. This helps the initial verification of credentials remain current as well as the skills of the candidate. Examination resource planning is an important aspect of examination delivery. Candidates with eligibility who do not actively participate in examinations skew reporting and planning for exam delivery.

Policy:

Candidates with no examination activity for a period of two years (24 months) will have their account status set to inactive.
An inactive account can be reactivated upon request should the required documentation be approved, and any required payment made.
